Mandatory residence registration (German: Bestätigung der Meldung „Meldezettel“)
In Austria every person regardless of his/her nationality has to register in their place of residence within 3 working days after entry. This procedure is free of charge. To register (or deregister) please visit Registration Service Centre in your district. Following documents are needed:

registration form signed(!) by the landlord/landlady and by the tenant
optionally marriage certificate and/or proof of academic titles (in English or German)

Salary
Monthly salary is always paid i.e. transferred to the given bank account by the 15th of every month. Additionally, a special payment of the half of monthly salary is paid every year in March, June, September and November (13th and 14th salary are each divided in two and paid four times a year).

Health insurance
Your health and accident insurance starts with the first day of employment. The insurance provider BVA – www.bva.at – offers social security for the public sector and covers the costs of the necessary medical treatment. To certain services provided by the BVA, the insured person must make a percentage-based financial contribution – usually 20% (to be paid after the treatment). To obtain medical treatment, please choose a doctor, who has concluded contracts with BVA. Physicians can be searched here http://www.arztverzeichnis.at/suche.
E-card
E-card verifies your insurance coverage. It will be sent to your home address by BVA. Please present your e-card every time you visit a doctor, laboratory, hospital etc. This way, you will be treated without having to pay upfront.

Annual leave and public holiday
Annual leave entitlement depends strictly on your employment contract. A person working 8 hours a day, 5 days a week is entitled to 200 hours (=25 days) annual leave. All TU Wien employees must apply for their leaves in SAP-ESS and be granted permission before they go on holiday. Public holidays in Austria such as national and religious holidays are free of work. The leave application is to be filed no later than 3 days before the leave begins.
Absence and/or sickness
Please make sure to appear to work according to your employment contract and to start your work day at 10 am the latest. Should you be unable to come to your office, remember to notify your supervisor or secretariat at sekretariat@ifp.tuwien.ac.at – a simple e-mail will do.
When sick, please inform your supervisor and secretariat at sekretariat@ifp.tuwien.ac.at about your disability as soon as possible. If being sick longer than 3 days, please present a doctor's note – sick certificate. It is also necessary to report being back at work => BEGINNING and END are equally important.

Telephone
To call TU Wien members within the university please dial the extension number only. These phone calls are free of charge. To call a number outside TU Wien special authorization is needed.
Mail/letters/parcels addressed to the institute are sorted by us and put into the mailbox in front of my office. For your mail, please check the mailbox "AG XY".
Lock the door
University buildings are open and can be easily entered by strangers. Please remember always to lock back the doors.
Lunch
Kitchens at Freihaus (8th floor, yellow and 7th floor, red) can be used for lunch. University canteen MENSA at Freihaus (1st floor, yellow) offers inexpensive meals Mo-Fr 11-14.30. There a a joint group lunch once a week.

Before applying, please make sure to discuss such options with your supervisor.
Conferences and business trips
Before applying, please discuss your participation in conferences with your supervisor. All TU Wien employees must apply for their business trips in SAP-ESS and be granted permission before they leave their work place. The travel application is to be filed no later than 3 days before the trip begins.
A daily allowance for a maximum of 4 days can be applied for if no lunch and dinner were covered by the conference fee or provided for free. Not refunded travel costs are deductible and can be declared in your tax declaration. For business trips outside EU, we recommend a private health insurance which can be claimed together with your travel expenses (for example Auslandsreise – Krankenversicherung with UNIQA, www.uniqa.at).
