Mandatory residence registration (German: Bestätigung der Meldung „Meldezettel“)
In Austria every person regardless of his/her nationality has to register in their place of residence within 3 working days after entry. Even more importantly, TU human resources insists that you have a registration before your first day of work. This procedure is free of charge. To register (or deregister) please visit one of the Registration Service Centers (does not need to be in the district where your apartment is located). The following documents are needed:
your passport
registration form signed (!) by the landlord/landlady and by the tenant (if you're moving in with your spouse or partner, only one of the forms needs to be signed by the landlord/landlady, the other one could be signed by the person registered with the first form)
optionally marriage certificate and/or proof of academic titles (in English or German)
To change the address within Vienna it is enough to send a correctly filled and signed registration form by e-mail to one of the Registration Service Centers.

Confirmation of registration for EU citizens and Swiss nationals (German: Anmeldebescheinigung)
Within four months of your arrival in Austria you should also apply for a Registration Certificate. Depending on your residence district, you need to go in different locations to register.
If you are an EU or Swiss citizen you only need to bring:

Residence permit for non-EU citizens
To be able to sign your contract and in general to work in Austria one would need to obtain a residence permit. This is issued by a respective residence authority, which in case of city of Vienna is the famous Magistratsabteilung 35 (MA 35). Note that one should obtain residence registration ("Meldezettel") before this step.

Salary
Monthly salary is always paid i.e. transferred to the given bank account by the 15th of every month. Additionally, a special payment of half of the monthly salary is paid every year in March, June, September and November (13th and 14th salary are each divided in two and paid four times a year).

Health insurance
Your health and accident insurance starts with the first day of employment. The insurance provider BVA – www.bva.at – offers social security for the public sector and covers the costs of the necessary medical treatment. To certain services provided by the BVA, the insured person must make a percentage-based financial contribution – usually 20% (to be paid after the treatment). To obtain medical treatment, please choose a doctor, who has concluded contracts with BVA. Physicians can be searched here or here.
E-card
Your e-card verifies your insurance coverage. It will be sent to your home address by BVA. To obtain a valid e-card with a photo, you need to register (in case it is not) a digital passport photo. You must register your photo in person within Austria at one of the registration offices listed at www.chipkarte.at/foto in accordance with the passport photo criteria. Once your photo has been registered, the e-card will automatically be sent to your postal address. Please present your e-card every time you visit a doctor, laboratory, hospital etc. This way, you will be treated without having to pay upfront.
When you get your e-card, it might happen that the back of the card (European Health Insurance Card) is filled with asterisks and not your data. To get a valid European Health Insurance Card you need to send a confirmation to BVA that you were insured (not necessarily within Austria) for at least one year, after which you will get a new e-card with the back of the card filled with your data. Otherwise, after one year you will be able to get a new e-card with the back of the card filled without any confirmation.

If you're traveling on a business trip outside the EU, you might want to get a travel insurance. Here are the options to consider:

ÖBB Vorteilscard might be useful for those who travel more frequently (usually offers 50% discount for train tickets) or if you want even more freedom and flexibility, the KlimaTicket covers all public transport in Austria (€1095 per year) - Vienna International Airport: http://www.viennaairport.com
For the travel from/to the airport it is possible to combine options from the ÖBB and the public transport of Vienna (€4.40 as of April 2024; both S-bahn and RJ trains are available). If you happen to hold any pass for the public transport in Vienna, you can utilize it for the trip to the airport and only buy the ticket that covers the difference between the zone covered by your pass and an extra travel patch outside of Vienna (€2.00 as of April 2024; when buying the extension ticket one needs to tick "from/to the city limits" checkbox).

If the cost of the course is covered by the institute, TU Wien can reimburse (to the institute) 50% of its cost if you pass the course (check this link for more details).

Annual leave and public holiday
Annual leave entitlement depends strictly on your employment contract. A person working 8 hours a day, 5 days a week is entitled to 200 hours (=25 days) annual leave. All TU Wien employees must apply for their leaves in SAP-ESS and be granted permission before they go on holiday. Public holidays in Austria such as national and religious holidays are free of work. The leave application is to be filed no later than 3 days before the leave begins.
Absence and/or sickness
Please start your work day at 10 am the latest (office core hours). Should you be unable to come to your office, remember to notify your supervisor or secretariat at sekretariat@ifp.tuwien.ac.at – a simple e-mail will do.
When sick, please inform your supervisor and secretariat at sekretariat@ifp.tuwien.ac.at about your disability as soon as possible. If being sick longer than 3 days, please present a doctor's note – sick certificate. It is also necessary to report being back at work → beginning and end are equally important.

TUcard
To get staff ID card you need to upload your photo and specify pick-up location, i.e. Freihaus, in TISS, see this link for more details. It simultaneously works as a library card. In the main library it can be used to claim the locker, but it this feature needs to be first activated at the library reception.
Telephone
To call TU Wien members within the university please dial the extension number only. These phone calls are free of charge. To call a number outside TU Wien special authorization is needed.
Mail/letters/parcels addressed to the institute are sorted by us and put into the mailbox in front of my office. For your mail, please check the mailbox "AG XY".
Lock the door
University buildings are open and can be easily entered by strangers. Please remember always to lock back the doors.
Lunch
Kitchens at Freihaus (8th and 9th floor, yellow and 7th floor, red) can be used for lunch. University canteen MENSA at Freihaus (1st floor, yellow) offers inexpensive meals Mo-Fr 11-14.30. There is a joint group lunch once a week.
Home office
Home office days are Tue. and Thu. You need a Home Office Agreement to this end.
Conferences and business trips
Before applying, please discuss your participation in conferences with your supervisor. All TU Wien employees must apply for their business trips in SAP-ESS and be granted permission before they leave their work place. The travel application is to be filed no later than 3 days before the trip begins.
A daily allowance for a maximum of 4 days can be applied for if no lunch and dinner were covered by the conference fee or provided for free. Not refunded travel costs are deductible and can be declared in your tax declaration. For business trips outside EU, we recommend a private health insurance which can be claimed together with your travel expenses (for example Auslandsreise – Krankenversicherung with UNIQA, www.uniqa.at).
